Background
You will be providing a book-keeping function for 2 companies: Hebden Bridge Community Association (Registered Charity & Company) and The Town Hall Café Ltd (a Company). The Community Association is the sole shareholder of the Café which operates as a trading subsidiary. Accordingly we have bank accounts and QuickBook accounts for each company.

Overall Purpose

  • To provide a comprehensive book-keeping function for Hebden Bridge Community Association (HBCA)  and the Town Hall Café Ltd covering the general duties set out below

General Duties

  • Bank reconciliations for both HBCA and the Café – printing weekly bank statements; matching to payments and receipts  and  entering missing transactions to QuickBooks; recording customer BACS receipts and preparing and printing monthly bank reconciliations
  • Supplier invoicing: logging into QuickBooks, obtaining approval from budget holders, coding invoices and entering into QuickBooks, setting-up payments and obtaining authorisations, recording payments and general management of the creditors ledger
  • Customer invoicing for: room hires (both regular and ad-hoc users including invoicing for deposits and occasional additional charges where required); along with meeting& events catering (based on weekly catering schedules). This will require familiarity with our diary system
  • Management of the debtors ledge including monitoring, liaison with applicable staff and chasing as appropriate. This will also include helping establish standardised systems for the management of debtors
  • Banking of receipts – cash, cheque and card payments including matching of receipts to debtors ledger and banking of cheques by post
  • Recording Cafe & Bar takings into QuickBooks and balance the Cash Account – using daily sheets from the Café staff
  • Maintain the Petty Cash  for HBCA – entering payments and receipts on QuickBooks, counting cash and matching to the QuickBooks balance
  • Maintaining central records of exhibition receipts for sale, calculate commission and processing of payments to artists
  • Maintaining central records of business tenant deposits, their reconciliation and payment on departure
